Sub lists explained

Build a reusable call order per band job, then staff gigs by asking people in that order.

A Sub list is your reusable order of musicians for one band job. When you staff a gig with that Sub list, Gixtra asks those people one after another until someone accepts—or until the list is exhausted.

Sub lists are available from the Rock Star plan upward. Manage them under Members → Sub lists.

When Sub lists help

Use a Sub list when you already know the preferred call order for a job and do not want to rebuild it for every gig.

Typical situations:

  • Your first-choice drummer is often busy, and you have two regular deps in a clear order.
  • You staff wedding gigs with a fixed “keys” backup chain.
  • You want the next person asked automatically after a decline or an expired offer.

If you only ever ask the same person, a normal attendee invite is enough. Sub lists shine when the order matters.

How to set one up

  1. Open Members → Sub lists.
  2. Create a Sub list and choose a band job (for example Drums).
  3. Select the musicians for that job and set the order with the arrows.
  4. Save.

You need one Sub list per band job. The people on the list should have that band job on their profile so you can find them again later.

How to use a Sub list on a gig

  1. Create or edit a gig.
  2. In the attendee picker, choose the Sub list (for example “Drums”).
  3. Save and announce the gig.

Gixtra starts with the first person on the list. If that person declines or the offer expires, the next person is asked automatically. On the gig page you can skip the current person or stop the Sub list if you need to take over manually.

Practical examples

Party band: drums call chain

Your Sub list for Drums is:

  1. Alex (regular)
  2. Sam (first dep)
  3. Jordan (second dep)

On Saturday’s club gig you pick the Drums Sub list. Alex gets the inquiry first. Alex declines. Sam is asked next and accepts. Jordan is never contacted for that gig.

Wedding band: keys backup

Your Sub list for Keys is:

  1. Mira
  2. Chris

You staff three summer weddings with that Sub list. Mira is free for the first two and accepts. On the third wedding Mira’s offer expires, so Chris is asked automatically—without you rebuilding the order.

What Sub lists are not

A Sub list is not the same as the sub role. The sub role controls what someone can see in the band. A Sub list is only the asking order for a band job on a gig.

Tips

  • Keep lists short and current. Remove people who no longer play with you.
  • Put your true first choice first. Order is the whole point.
  • Pair Sub lists with offer expiry when you need a faster cascade.
  • If nobody on the list can play, stop the Sub list and invite someone else directly.
